General Summary
Oversees the daily activities and operations of the business support functions and staff, in a lead role.
Serves as liaison between staff and management.
Provides administrative/secretarial support.
Duties and Responsibilities
Essential Functions:
Oversees the work of other personnel by training, allocating and monitoring work.
Performs work of a similar nature.
Disseminates work to staff members, establishes priorities and resolves problems relating to day-to-day operations.
Assists in selecting, training, orienting and evaluating staff.
Prepares work schedules and makes recommendations for personnel actions.
Provides administrative/secretarial support such as answering telephones, transcription, automatic time keeping, coordinating/scheduling meetings, appointments and/or seminars, and ordering supplies.
Types memorandums, policies, committee minutes, manuals, letters, forms, procedures, and other general typing as directed, initiating other documents and correspondence as appropriate.
Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
If assigned to Patient Access/Patient Access Call Center:
Serves as Building Facilitator for the Greenway Tech Building, working closely with Property Management to ensure that needs of the occupants are addressed and that all building issues such as safety and security, utilities, parking, etc.
are managed appropriately and in a timely manner.
Serves as Provider Specialist for WellSpan which updates and maintains confidential physician information in the Eclipsys Registration System and the Provider Portal which down streams to various other systems throughout WellSpan.
Researches and obtains National Physician Identification (NPI) numbers for out of area physicians to be added to the WellSpan Provider File.
Provides centralized phone reporting services, statistics and measurements for all departments of WellSpan that operate similarly to a call center environment as they are integrated into the new Avaya Phone System.
Maintains a portal that each department will be able to access for their specific data.
Assists in any needed additional training requested by WellSpan departments regarding the operation of the new Avaya phone system such as managing skillsets, monitoring queues, etc.

Qualifications
Minimum Education:
High School Diploma or GED Post High School Vocational/Specialized Training.
Required
Work Experience:
1 year Experience in secretarial training/general business.
